This policy explains how data is processed when you use arcaneworld.net, the cabinet, game servers and Arcane World support. It supplements the User Agreement and applies alongside the Server Rules and Fulfillment Policy.
1. Who processes data and the scope of this policy
The company Arcane World organizes data processing for the operation of the project. Privacy enquiries can be sent through cabinet tickets or to admin@arcaneworld.net; contact instructions appear at the end of this page.
This policy covers the features you use: registration, login, account management, gameplay, contributions, the shop, warehouse, support requests and official integrations. Data provided to external services when using their own websites or applications is also processed under their policies.
This policy describes data processing and does not replace separate consent where required. Using the website or accepting the agreement does not constitute universal consent to every processing purpose.
2. Data that is processed
Account data: email address, name or nickname, master account and game account identifiers, email verification and access settings. Phone numbers, avatars and linked external account details are processed if you provide them or use the relevant feature.
Game and operational data: selected servers, characters, game actions and logs, balances, coins, contributions, purchases, warehouse and delivery records, VIP status, referral links between users, promotional codes, restrictions and disputed transaction enquiries.
Technical data needed to operate the website and game services, save preferences, maintain security and detect abuse.
Support data: requests and replies, attachments, and account, character, server and transaction details you provide to resolve an issue. Telegram or Discord enquiries may include stored identifiers, usernames, messages and related material.
Traffic source and website usage data: referral link, referring source, advertising tags, registration events, clicks and events involving other available features. The data involved depend on enabled analytics and advertising integrations and applicable settings.
Payment data: transaction identifier, amount, currency, method, status and time, coin credits and information received from the payment provider to verify a payment. Do not enter full card details or security codes in tickets or send them to staff: payment details are entered in the relevant provider’s payment form.
3. Purposes and grounds for processing
Data is used to create and maintain accounts, enable login and access recovery, provide gameplay, credit coins, process purchases and delivery, handle support requests and send necessary security and transaction messages. A feature may be unavailable without the data it requires.
IP addresses, device identifiers and logs help detect unauthorized access, fraud, errors, circumvention of restrictions and rule violations. Transaction history is used to verify credits and delivery and handle disputes. Visit data helps evaluate the website, registration sources and advertising performance.
The grounds depend on the purpose and applicable law: performing the agreement and responding to user requests, meeting legal obligations, legitimate interests in project security and operation while respecting users’ rights, or consent where required. Agreement to game rules does not replace consent to optional processing.
5. Recipients of data
We do not share personal data with unrelated third parties. Exceptions are services needed to operate the project and user-selected features, connected analytics services and cases provided for by law.
Authorized staff and specialists maintaining the project and support may access data within their responsibilities. Features may involve hosting, infrastructure and network protection, email and payment providers, network risk assessment services and analytics. Data needed for the relevant task is shared with them.
When support integrations are used, messages and related materials may be sent to Telegram, Discord and the connected support system. When staff assistance tools are enabled, request texts, conversation context or drafts may be processed by external translation and AI services, including Google and OpenAI, to prepare and translate replies and assess support quality.
A payment provider processes data entered in its payment form under its own terms. Arcane World receives transaction information needed to confirm payments and credit coins. Analytics and advertising services receive data within the operating integrations described above.
Data may also be disclosed in response to a lawful request from competent authorities or to protect rights and handle disputes within legal limits. This policy does not itself grant any third party access to an account or correspondence.
External providers may be located and process data in other countries. Applicable transfer and protection requirements depend on the jurisdiction and provider. You may request information about recipients and applicable transfer conditions using the contacts below.
6. Public data and correspondence
Nicknames, characters, clans, rankings and messages posted in public channels may be visible to other participants according to server and community features. Do not publish other people’s personal data, payment details or access secrets.
The absence of moderation of white chat, party, clan, alliance and private messages under the server rules does not mean an absence of technical data processing or guarantee confidentiality: other participants may save and share messages. Tickets and enquiries are not public chat, but may be processed by staff and connected support services.
7. Retention and deletion
Account data and related game information are retained as needed to provide access and associated features. Payment history, support requests and logs may be kept longer where needed for unfinished transactions, disputes, abuse prevention or legal obligations. A long period without logging in does not in itself mean automatic account deletion.
The period depends on the data category, purpose, mandatory retention requirements and outstanding matters. On request, we will explain the applicable period or the criteria for determining it for your data.
Deletion requests are considered in light of the right to erasure and legal exceptions. Deleting necessary data may close access to related features. Closing a ticket or banning an account does not itself delete data.
8. Data security
Protection measures include access control, permission checks, authentication, technical logs and other organizational and technical measures. No storage or transmission method guarantees absolute security, and we do not make such a promise.
Users must protect their email and login details, keep passwords, PINs and one-time codes from others, and report suspected unauthorized access. Do not send a password, full card number or card security code with a personal data request. If the account owner gives other players access to the account, the account owner bears full responsibility for the safekeeping of items on the account. In such cases, the administration does not compensate for or restore lost items. The administration does not regulate transactions between players.
9. Your rights and requests
Under applicable law, you may request correction, deletion, restriction or portability, object to processing and withdraw consent where processing is based on it. Withdrawal does not invalidate lawful processing before withdrawal or stop processing on other lawful grounds.
Requests are accepted through tickets or email, including when login is unavailable. To avoid disclosing data to another person, we may request information necessary to verify your connection to the account and clarify your request. We respond within applicable legal time limits; if a request cannot be fully fulfilled, we explain the reasons and possible next steps.
You may contact the competent data protection authority or use other remedies provided by law. A ban for breaking game rules does not remove personal data rights.
10. Contacts and updates
For data enquiries, use the ticket system in your cabinet or email admin@arcaneworld.net. Include the email associated with the account, the nature of your request and details needed to consider it. If you cannot access your email or cabinet, explain this in your enquiry.
The current version is published on this page. Significant changes are announced on the website or through official project announcements. Continuing to play does not automatically authorize new purposes that require separate consent.
